What will be your daily pursuit?

The Conference Services Manager (CSM) will act as a liaison between the Sales team, responsible for selling events/banquets, and the Food & Beverage team who executes the functions.  The CSM coordinates every detail of the event/banquet and effectively communicates those details to the operations team for successful execution.  The CSM is the main point of contact for the group while on site. Assists with other departments or responsibilities as required.

What will you do in this job?

  • Works with groups holding events at Grouse Mountain Lodge
  • Creates timely banquet event orders (BEOs) for events at all properties
  • Coordinates with brides for weddings/wedding receptions held at Grouse Mountain Lodge
  • Sells any events-only without lodging
  • Attends each event and provides onsite support to ensure success
  • Creates and publishes event schedule
  • Performs site tours at Grouse Mountain Lodge
  • Works with the GML operations team to ensure events are executed to meet guest expectations and high service standards
  • Coordinates with external vendors/contractors (i.e. florists, photographers, A/V suppliers, etc.) where necessary 
  • Works with the Food & Beverage & Accounting teams to ensure accurate and timely client billing
  • Assists with sales initiatives

What skills and experience do you need for this job?

  • Bachelor’s degree in hospitality/tourism/events management, or equivalent in work experience preferred
  • The ideal candidate will possess tourism related business experience, but consumer products experience would be acceptable
  • Ability to work independently and in group setting
  • Self-motivated, detail-oriented professional
  • Strong interpersonal skills 
  • Strong oral and written communication skills 
  • The ability to see multiple projects and tasks through to completion on a timely basis
  • Possesses strong administrative and organization skills with a team approach on all projects
  • Computer literate, comfortable with Microsoft Office Suite
  • Familiarity with a Property Management System and Customer Relations Management system an asset
  • Must be able to work a flexible schedule and some overtime, as well as enjoy working with a team in a busy, fast-paced environment

What will your work environment be like?

  • Office, hotel, and event space at Grouse Mountain Lodge.
  • Occasional travel around Montana.
  • Position requires flexible scheduling and on occasion, long hours including; evenings, weekends, holidays.
  • Position may include event set-up, execution and follow through.
  • Position entails long periods of sitting, repetitive walking, lifting, bending, twisting, climbing, stair use and lifting/moving of items up to or in excess of 50 pounds.
  • Attendance of trade shows, functions, meetings, seminars, etc. may be included.
  • Indoor and outdoor venues may include working in periods of inclement weather.
